1. Who we are
HiringFunnel is a career coaching and job application automation service for software engineers, operated by Pypes LLC ("HiringFunnel", "we", "us"). This Privacy Policy explains what information we collect when you visit gethiringfunnel.com, sign up as a member, or work with one of our coaches, how we use it, and the choices you have. Questions? 2. Information we collect
We only collect what we need to deliver coaching, run your automated job applications, and operate the service.
- Account & lead information: name, email, phone, LinkedIn URL, current role, target role, target salary, location, and other answers you provide on intake forms or to your coach.
- Resume & profile content: resumes you upload, edits made in the AI resume editor, work history, projects, and any supporting materials you choose to share.
- Job-search credentials & preferences: job board logins you provide so our automation can submit applications on your behalf, preferred companies, exclusion lists, and screening answers.
- Application activity: jobs we applied to for you, screenshots and confirmation pages from those submissions, employer responses, interview invitations, and offers you log in the dashboard.
- Coaching communications: messages, notes, call recordings (when you consent), and scheduling activity related to sessions with your coach.
- Billing information: handled by Stripe; we receive transaction status, last-four card digits, and billing email. We never store full card numbers.
- Operational logs & analytics: timestamps, IP address, browser/user-agent, run IDs, and error reports used for debugging, security, and product analytics.
3. How we use your information
- Deliver coaching, interview prep, and offer negotiation support.
- Run automated job applications on your behalf using the credentials and preferences you provide.
- Optimize your resume and profile, including AI-assisted edits you trigger in the resume editor.
- Show you a dashboard of applications sent, responses, and interview activity.
- Send transactional emails (account, billing, status updates) and reminders.
- Send marketing emails about HiringFunnel — you can unsubscribe at any time via the link in any marketing email.
- Investigate abuse, prevent fraud, and meet legal obligations.
4. Automated job applications & third-party job sites
Our applier service uses real browser sessions to submit applications to job sites on your behalf, using credentials and answers you provide. By enabling automation, you authorize us to act as your agent for the limited purpose of submitting these applications. We do not use your job-site credentials for any other purpose, we do not share them with third parties, and you can revoke automation access at any time from the dashboard or by emailing jared@pypes.dev. Each job site you apply to has its own privacy policy and terms; using HiringFunnel does not change your obligations to them.
5. AI-assisted resume editing
When you use the resume editor, the text of your resume and the instruction you provide are sent to our AI provider (Anthropic) to generate suggested edits. The edited content is stored in your HiringFunnel account so you can review and revert changes. Anthropic processes this content under its commercial terms, which prohibit using customer inputs to train its generally available models.
6. Cookies, analytics, and ads
We use first-party cookies and lightweight analytics to understand product usage and improve the experience. On marketing pages we also load advertising pixels (currently the Meta Pixel and LinkedIn Insight Tag) so we can measure ad performance and reach similar audiences. You can opt out of advertising cookies through your browser controls or via the ad-network opt-out pages linked from each provider.
7. Sub-processors
We rely on a small set of vendors to run HiringFunnel. Each is bound by a data processing agreement and only receives the data needed for its role.
- Stripe — billing and payments
- Anthropic — AI resume editing and lead scoring
- Resend — transactional email delivery
- Amazon Web Services (S3) — file and document storage
- HighLevel (GHL) — CRM and lead nurture
- Sentry — error monitoring
- PostHog — product analytics
- Meta & LinkedIn — advertising pixels on marketing pages only

8. How we protect your data
- Data is encrypted in transit (TLS 1.2+) and at rest.
- Production data is stored in managed databases hosted in US regions. Backups are encrypted with the same controls.
- Access is restricted to named HiringFunnel staff who require it to operate the service. Access is logged.
- We follow the principle of least privilege for all internal systems and rotate credentials on a regular schedule.
9. Retention and deletion
- Account, resume, and application data is retained while your account is active so your dashboard, history, and coach can pick up where you left off.
- Job-site credentials used by the applier are encrypted at rest and deleted when you disable automation, remove the credential, or close your account.
- Operational logs are retained for up to 90 days, then purged. Aggregated analytics may be retained longer in non-identifying form.
- You can delete your account at any time by emailing jared@pypes.dev. We will delete your account data within 30 days, except where retention is required by law (e.g., billing records).
10. What we do not do
- We do not sell your personal information.
- We do not use your resume, application history, or coaching content to train generalized machine-learning models.
- We do not share job-site credentials with any third party, including our sub-processors, beyond what is strictly required to submit your applications.
11. Your rights
You may request access to, correction of, or deletion of your personal information at any time. Residents of jurisdictions with applicable privacy laws (including GDPR and CCPA) may have additional rights, such as the right to portability or to object to certain processing. To exercise any of these rights, contact jared@pypes.dev.
12. Children
HiringFunnel is intended for working professionals and is not directed at children under 16. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact us and we will delete it.
13. Changes to this policy
When we change this policy, we will update the "Last Updated" date at the top. Material changes will be communicated to active members by email.
